The e-mail never arrived? How Message Trace works in Microsoft 365

Sometimes e-mails don’t behave the way you expect. They don’t show up, get caught in spam filters, or simply vanish. That’s when it’s helpful to know about Message Trace – a tool in Microsoft 365 that helps you find out what actually happened.

With Message Trace, you can follow an e-mail’s journey through the system:

🕵️‍♀️ Was it sent as expected? When?
📬 Was it delivered to the recipient? When?
🗑 Did it end up in spam, get quarantined, or blocked along the way?

How to use Message Trace in Microsoft 365

Log in to the Microsoft 365 Admin Center:
Go to admin.microsoft.com

Click on Exchange under “Admin centers.”

In the left-hand menu, go to Mail flow > Message trace.

Enter the sender’s or recipient’s e-mail address in the field.
You can also select a date range for when the e-mail was sent.

Click Search.

The results will show information such as:

  • Delivery status (e.g. delivered, delayed, rejected)

  • Time of delivery

  • Any filters that affected the message (e.g. spam filters, rules, quarantine)

Click on a result to view detailed information about the e-mail’s journey through the system.
