Queue and waiting list

If an event is fully booked, participants can be placed in a queue. If someone cancels, the longest-waiting participant automatically gets the spot. Perfect for popular events where spots fill up quickly.

 

Enable Waitlist

  1. Go to Details in the left column.
  2. Scroll down to How many participants? and enable Set a limit on the maximum number of participants.
  3. If everything is "grayed out" and cannot be edited, you must first Allow event editing at the top.

  4. Once you have set the event's maximum participant limit, enable Place new participants in the queue after the maximum limit is reached.

  5. Specify how many contacts can be on the waitlist.

How It Works

  • If all regular spots are taken and there are people on the waitlist:
    • When a regular participant cancels, the event confirmation email is automatically sent to the contact on the waitlist with the longest queue time.
    • That contact’s status also automatically changes from Waitlist to Registered.

View Who’s on the Waitlist

  1. Go to the Guest List page.
  2. Click on the Waitlist button.

Add Someone to the Waitlist

  1. Open the Guest List.
  2. Click on the current status and select Waitlist instead.
