Data management – deleting personal data

With data management, you can delete personal data for inactive contacts stored in your account.
For GDPR reasons, it is necessary to anonymize inactive contacts that you no longer need to communicate with or retain personal data about.

This process is irreversible, and the contacts will become completely anonymous, but click and open statistics will be retained.

  • Only users with the "Administrator" role can perform the process of deleting personal data.

In the account settings and subscription section of your account, you can see information about the number of active contacts you've communicated with over the past 12 months and the total number of emails sent in the past month (rolling 30-day period).

If you have a subscription with sub-accounts, the total number of active contacts and emails sent across all your accounts is included in the total sum. Note that data management must be run separately for each account if you have a main account with sub-accounts.

What is an inactive contact?

An inactive contact is a contact who, during the selected time period, has not received any email and not received any text message and has not responded to any survey or event invitation.

What data will be deleted?

  • Name
  • Email address
  • Other fields on the contact card
  • Free text answers in surveys and events
  • Status (= active/bounced/blocked).

Which data will be anonymized?

  • Mail statistics
  • Multiple choice answers in surveys
  • Numbers in surveys
  • Event participation
Important!
Contacts automatically become inactive after 12 months if there has been no communication with the contact, the contact has not responded to a survey, or the contact has not registered for an event within the last 12 months.
Inactive contacts are not included in the total sum of contacts toward an account's subscription level, but contacts are only anonymized after data management has been performed.

How to Start Data management:

  1. Click on your name/account name at the bottom left of the menu.
  2. Click on "Account" again in the displayed menu.
  3. Select "Data management" in the left-hand menu on the account settings page.
  4. Click the "I have read the information and want to proceed" button to choose the time period and see the number of inactive contacts.
  5. Choose a time period: 12, 18, 24, or 36 months.
  6. The total number of inactive contacts will now be displayed in the information box.
  7. Confirm that you have read and understood what the deletion means.
  8. Click the red "Start process of deleting personal data" button.

Note: This process is irreversible once it has started.
